Part-time Job Opening at the NASW-MA Chapter

TITLE:          Event Marketing & Sales Coordinator    POSITION STATUS:          Part-Time, Temporary (10 months)

ISSUE DATE:          June 29, 2017    FLSA STATUS:          Non-exempt




The NASW-MA Chapter conducts a biennial, 2-day symposium, which includes a trade show with sponsors and exhibitors, and a program book with advertisers. This part-time (20-hours/week), temporary (~10 months), position reports to, and assists, the Director of Clinical Issues & Continuing Education. This position is responsible for the planning, coordination, and implementation of sales, marketing and set-up for sponsors, exhibitors, and advertisers.




  1. Develop, in coordination with Director of CI & CE, Symposium 2018:
    1. Marketing and Sales Plan for sponsors, exhibitors, and advertisers (SEAs)
    2. SEA Income Projection
    3. SEA Sales Brochure (writing, pricing, working with the printer)
    4. Mailing list of SEAs
  2. Identify and develop extensive data base of potential SEAs
  3. Sell and “up-sell” sponsorships, exhibit spaces and advertisements
  4. Communicate with potential SEAs on a daily basis via telephone and email
  5. Use Excel Spreadsheet to track communications, sales, contracts, payments, etc.
    1. Provide weekly updates on marketing and sales progress
  6. Ensure receipt of all contracts, payments, organizational descriptions, and program book advertisements
  7. Coordinate giveaways, flyers, etc. produced and provided by SEAs
  8. evelop and oversee production of:
    1. Exhibitor placement map
    2. Ad placements in program book
    3. Exhibitor registration packet
    4. Exhibitor evaluation forms
    5. Prize drawing
    6. Power Point Presentation of Sponsors and Premier Exhibitors
    7. Signs for Major Sponsors
  9. Symposium & Exhibitor Management: set-up, registration and ongoing trouble-shooting
    1. Specifically for Symposium 2018, Wednesday, April 11 – Friday, April 13, 2018
      1. Stay at hotel on nights of Wednesday, 4/11 and Thursday, 4/12
      2. Wednesday – 2:00 pm – 10:00 pm
      3. Thursday – 7:00 am – 7:00 pm
      4. Friday – 7:00 am – 7:30 pm (or when staff is done)
  10. Produce final accounting of SEA income
  11. Summarize and report on Exhibitor Evaluations
  12. Write final evaluation of Symposium 2016
  13. Participate in staff de-briefing of Symposium 2016
  14. Send Thank You Letters to all SEAs
  15. Other duties as assigned




Skills: Sales, marketing, project coordination, trade show planning, budgeting, ability to work independently and as part of a team, initiative, excellent communication skills (verbal and written), excel, word, email, and power point.


Knowledge: Sales planning and implementation, appropriate telephone and email sales skills/techniques, marketing for trade shows, customer service and vendor relations, trade show set-up and on-site coordination,


Experience: Prior work in tradeshow and advertising sales and marketing, and vendor set-up and coordination.
